We charge a research and planning fee starting at $250.00 per trip, which is non-refundable and must be paid after the first consultation. Once fee is paid, we start the planning process. The fee covers our research, planning and trip proposal with all cost. Our clients find our planning fee is well earned, based on our trusted professional expertise, time and service they received throughout the planning process.
We offer up to three revisions based on the $250.00 research and planning fee. We will work until you're satisfied. If you are still unable to confirm an itinerary after three revisions, an additional fee may apply, but we will continue working to perfect your plans.
Yes, we can create customized group travel itineraries.
Research and planning fees begin at $350, but can increase with complex itineraries, multiple destinations, or for larger groups/events. Please note that only three revisions to the initial itinerary are included in the $350 base fee.
The trip consultation fee does not include flight ticketing or other fees.
Airline tickets:
Service fees for booking airline tickets start from $45-$150 per booking/ per person depending on the complexity of the trip. Change / Rebooking fees will apply.
Any requests for research and trip planning within two weeks of the intended departure is treated as a rush request. Rush requests for trip research and itinerary have fees that start at $500, depending upon the season and extent of travel intended.

When we put together your customized travel itinerary, we ensure you are designed a fabulous itinerary with all perks and amenities available. We highly recommend that you purchase trip insurance, and in most cases, we automatically add it. Life can be unpredictable, and we want to respect your investment, so we recommend protecting it.
Back to why it's important to purchase travel insurance! Yes, you are able to cancel your trip. Fees may apply based on the terms and conditions on the cancellation policies originally provided by the suppliers. In addition, Hayes Executive Travel will charge a $300.00 cancellation fee for customized travel itineraries.
A reduced cancellation fee may apply for individual hotel or flight bookings.
